Signup Instructions for Swims and Jobs at Meets

You must register your swimmer the Saturday (by 11:30pm) before the next meet for them to be able to swim. 

How to Register for Jobs and Swims at a Meet:

Log in to the website. Login is found in the upper right hand corner of the screen.

If you can’t remember your password, click "Forgot your password" to reset your password.

Under the Meets & Training tab, select "Signup Calendar" to sign up for a swim meet.

Job Signup

  • Click the green JOB SIGNUP tab and sign up for volunteer shifts (note one parent may sign up both parents for jobs -- scroll down and you’ll see the other parent listed). If you know you and your spouse will not be at this meet, skip to Swimmer Signup.
  • Click Save Assignments.
  • Click Back to Signup Calendar.
  • It is required for each family to volunteer for at least 1 shift per meet in which your child participates.

Swimmer Signup

If your team allows your athletes to declare attendance and/or select meet entries:

  • Click the green MEET ENTRY tab, and then click the green Edit tab under your athletes' names.
  • For each of your athletes, select an option from the drop down list next to their names.
    • (undeclared) 
    • Attending
    • Not Attending
  • If the coach allows the athlete to select events, select the appropriate events from the list shown. If a prompt comes up that asks if you have received coach’s approval, make sure you get that approval on deck or via email.
  • Specify your swimmer's availability for relays from the drop down options (if offered). 
  • Click Save to record your choices.

Parent Roles/Volunteering

It is required each family must volunteer for at least 1 shift per meet in which their child participates.  See below for an explanation of volunteer positions.  Also - do not fear the Certification Required positions!  You will receive on the job training when you join us on deck.  You will not be left high and dry... we take care of our own.

Role Description
Chief Timer

This person will stand behind the timers and signal to the starter/referee when the timers are ready for the next heat to start. This position will also start a stopwatch in case a timer’s watch does not start. At away meets, our team’s head timer will serve as assistant head timer, working in conjunction with the hosting team’s head timer.


Clerk of Course These volunteers line kids up on benches by event and heat give swimmers a blue card that will be given to the timer with the swimmer’s name and information. Clerk of course may also work prior to the start of the meet to combine events to make the meet run more smoothly. *Training & Online Certification Required

Computer Works behind the scenes to manage swimmer events and construct the official Heat sheet. Responsible for managing swimmers event times information and data input for each meet. *Training & Online Certification Required

Timer

Each lane during a swim meet will have four timers, typically two from each team. Three of the four timers will use a stopwatch to time their swimmer based on the strobe light start and their swimmer touching the wall. The fourth will be the Recording Timer.  Needs subject to change based on Time Drop System. 

Hospitality This role involves delivering drinks to other volunteers during the home swim meets.

Meet Set Up Crew Home Meets: A team of volunteers will work together to prepare our pool for home meets by setting up chairs, lights, starter system, lane lines etc. between 3-4pm.

Meet Clean Up Crew All parents are expected to stay after home meets to put the pool back in order for the next day (put chairs back in order, carry swim team supplies to shed etc.) A quick job when everyone pitches in!

Referee This person will oversee home meets and serve as Assistant Referee of away meets. This role has the responsibility of seeing that the meet is properly conducted and that rules are fairly enforced for all swimmers. *Training and Online Certification Required

Ribbons After the first half and again at the end of the meet, the Team Computer Operator will print labels to be placed on the back of ribbons. The Ribbons volunteer will put the correct stickers on ribbons and file in the team folders. This can be done at home if the ribbons are complete before Ribbons and Donuts Friday morning.

Runners These volunteers will collect the timing sheets from the Recording Timers and deliver them to the Team Computer Operator.
Starter/Recall Starter This person will be “the voice” of the meet and start each heat using an electronic starting system when they Assistant Referee and Head Timer signal that swimmers are ready. *Training and Online Certification Required


Stroke and Turn Judge This position will use official rules learned during certification to ensure a swimmer’s stroke is legal. If a swimmer’s stroke in found to be non-legal, the Stroke and Turn Judge will raise their hand and communicate with the Referee regarding the possible disqualification of the swimmer. *Training and Online Certification Required


Tent Parent These parents sit in the tent area with the swimmers during the meet and help to check swimmers in when they arrive to the meet. Also, with the use of a heat sheet, Tent Parents gather swimmers for upcoming heats and send them to the Clerk of Course area. Since there is usually more than one Tent Parent, parents can go up on deck during their swimmers event to watch them swim.

PLEASE NOTE!

Please understand we are a volunteer run organization. In order for swim meets to run, it is required each family must volunteer for at least 1 shift per meet.  If a family member does not sign up to volunteer, your swimmer(s) will not be eligible to swim in that meet.  Should a special circumstance arise where at least 1 member of the family can not volunteer at a meet please contact your SAIL Representative. 

To swim in a meet, swimmers must be declared for each meet by 11:30 the prior Saturday.  You may go ahead and declare for the whole season as soon as you are registered.  The coaches will communicate individual events to the swimmers on Thursday morning.  Relays will be computer generated based on swimmer's times and availability.
